When you have done all the planning and preparation for your wedding or special event, you will want to hand everything off to someone so that you can enjoy your day. Aunt Sara said she could take charge, but why should she be working and not having fun? You could hire a coordinator, but you want someone with experience.
Our team of wedding and special event dream coordinators all have vast event experience and are able to handle anything that comes along with professionalism and calmness. They not only “checkboxes”, but they put their arms around your event to ensure a perfect day!
Our package includes:
Initial Meeting.
Meet your professionals and get to know each other. Use this time to ask any questions of your professional and gain advice. They can make sure you are progressing nicely with your wedding or event planning. They can also help you with the next steps.
Event Consultation.
Our professionals will join you in your food and beverage tasting at the venue. This is a perfect time for your professional to really get to know the family or event hosts. They can help with food and beverage selections, offer advice, answer questions, and get to know the venue team. If your event does not have a tasting, a meeting via Zoom or in-person will take place at least 3-4 months before the wedding or event. It is after this meeting that the professional will reach out to your vendors for introductions.
Timeline Creation.
What time do we need to be at the ceremony site? When should we take pictures? What time should the vendor team arrive to set up? All of these important details can be communicated via the event timeline. This important document will let your teams know what happens when and set everyone up for success. Our event dream coordinators will work with you to create a perfect timeline.
On-Site Coordination.
The big day – what you have been waiting for! Our professionals and their assistant are ready to go and make this day smooth as can be for you! They are on it, every detail checked and double-checked! It’s time for memories and for dreams to come true and we are dedicated to making that happen!
Event Day Assistant.
When crunch time comes, four hands are better than two! Therefore, we provide an assistant for your event dream coordinator. At Soar we use this position as an opportunity for future event professionals to get firsthand experience with events and work with professionals. These assistants have a passion for events and we want to give them this opportunity to help achieve their goals.
Should you request your professional assist at the rehearsal dinner, that may be added to your package at any time. An additional fee would apply.
Final Site Visits.
Your event dream coordinator will accompany you on your final site visits to the venue. All of those last-minute changes, additions, and double-checks will be addressed. Maybe some details you didn’t think about!
Vendor Management.
What time does the venue allow vendors to set up? Where should the band set up? Where is load in and load out? Your professional will work with your venue to get these details taken care of and communicated to your vendors. Even after the last song is played, your professional will make sure vendors are taken care of and depart with ease.
1 Hour Rehearsal.
Should the groomsmen be on the right or left? When do the readers do their part? Where do the parents sit after walking their daughter or son down the aisle? Your professional will be there at the rehearsal to answer all those questions and facilitate the rehearsal in accordance with the couple’s wishes and traditions.
